A useful device enquiry starts with a precise need. Procurement teams can reduce avoidable delays by describing the requested product clearly and checking that the quotation, product label, and supporting documents all refer to the same item.
Describe the requirement
Include the device name, manufacturer if known, model or catalogue number, size or configuration, quantity, and intended clinical use. For implants or instrument systems, note any compatibility requirements with equipment already in use. If you are comparing alternatives, identify which characteristics are essential and which are preferences.
Review product documents
Request the current product information relevant to the item: instructions for use, product specifications, labelling, applicable conformity or registration evidence, and traceability information. Check that manufacturer and model identifiers match across the quotation and documents. For sterile products, confirm the packaging condition and expiry information at delivery. For reusable devices, check the manufacturer's instructions for cleaning, disinfection, sterilisation, and maintenance.
Confirm local status and supply terms
In Uganda, the NDA regulates the import and supply of medical devices and publishes product registration and licensing guidance. Ask which Uganda-specific registration or import requirements apply to the product, and confirm current availability, lead time, delivery destination, and quotation validity before placing an order. The NDA's medical-device guidance is the reference for current local requirements.
Keep a record of the decision
Retain the final specification, approved quotation, product identifiers, regulatory documents, and delivery records together. This gives clinical, procurement, and stores teams a shared reference if a question arises later.
